A guide to our process — and what to expect at every step, from first contact to a clear plan for your child.

Taking the first step can feel daunting. There may be questions you don't yet know how to ask, and worries you've been carrying for a while. We want you to know: reaching out is enough.


Every step of your journey with us is collaborative. Nothing happens without your understanding and agreement — and at every stage, your voice and your knowledge of your child matter just as much as ours.

Your journey, step by step

1 - Getting in touch

Every journey begins with a conversation. When you contact The Cub — whether by phone, email, or our website — our team will listen to what's brought you to us. There are no wrong reasons to reach out, and no concern is too small.


We will take a few initial details and give you a clear picture of what happens next. You will hear back from us within four business hours.

You don't need to have all the answers before you call. You just need to feel that something is worth exploring.

2 - The intake form

Once you've made contact, we will send you our intake form — the Developmental History Form. This is a questionnaire that helps us understand your child before we meet them.


It covers areas such as your child's development, their strengths and the things they find difficult, their medical history, their experience at school, and what a typical day looks like at home.


There are no right or wrong answers. The form exists so that when we sit down together, we already have a foundation — and our time with you can go deeper, rather than starting from scratch.

Take your time with the form. Fill in what you can. If something feels uncertain, leave a note — we will explore it together.

3 - The initial consultation

Once the intake form has been returned, we will book you in for an initial consultation with a member of our clinical team. This is a dedicated appointment — typically 45 to 60 minutes — for you as parents or caregivers.


This is a conversation, not an assessment. We will go through what you have shared in the intake form, explore your concerns in more depth, answer any questions you have, and begin to build a picture of your child as a whole person.


Your child may or may not attend this appointment — we will discuss what feels right for your family beforehand.

This is your space. Come with questions. Come with worries. Come with the things you haven't been sure how to put into words — we are used to hearing all of them.

4 - Building your plan together

After the initial consultation, our clinical team will sit down together to consider what we have heard. We look at the full picture — not just the presenting concern — and ask ourselves what would genuinely be most helpful for your child and your family.


From that conversation, we will develop a proposed plan. This might mean beginning with a period of therapy to support your child directly, starting with a formal assessment to better understand their profile, or both.


The plan is never decided without you. We will share our thinking clearly, explain our reasoning, and invite your questions and input. Nothing moves forward without your agreement.

You are always in the room, even when you are not — every decision we make is made with your family in mind.

5 - Assessment or therapy — your child's journey begins

Once the plan is agreed, we begin. If formal assessment has been recommended, your child will attend a series of sessions with the relevant members of our team. These are child-friendly, carefully paced, and designed so that your child feels safe and comfortable throughout.


If the plan moves straight to therapy, your child will begin working with their therapist in a warm, structured, and supportive environment. All therapy at The Cub is evidence-based and tailored to your child — not a generic programme.


Throughout this stage, we will keep you informed. You will never be left wondering what is happening or what comes next.

Our goal is for every child who comes to The Cub to feel safe, seen, and genuinely understood — from the very first session.

6 - Results, clarity, and the road ahead

If formal assessment has taken place, we will share the results with you in a dedicated feedback session. This is not a report handed over in an envelope — it is a conversation.


We will walk you through what we found, explain what it means for your child in their daily life, and give you time and space to ask questions, process what you are hearing, and share your own thoughts.


From there, we will build the next stage of the plan together — whether that is a therapy programme, school recommendations, practical strategies for home, or a combination. You will leave with clarity, a written report, and a concrete sense of what happens next.


If a report is to be shared with your child's school, we will always seek your written consent first. We work alongside schools — never around you.

A diagnosis, if one is made, is never the end of the story. It is the beginning of a much clearer one.
